Read-Only Documents
Sometimes yous'll want to circulate a file to other people, but y'all don't want them to change your words. There are several means you lot tin make your certificate read-only. The first, and simplest, way is to use the capabilities of your operating system to make the change. Merely create your certificate, and so (from outside of Word) change the backdrop of the document to indicate it is read-only.
The other way to achieve this is from within Word itself, by following these steps:
- Create your document as you ordinarily would.
- Cull Save As from the File menu. Give-and-take displays the Save As dialog box.
- Specify the location and name of the file as you desire it saved.
- Depending on your version of Word, either click on the Options button (Word displays the Save tab of the Options dialog box) or click the Tools push and so cull Security (Discussion displays the Security dialog box). (Run into Figure 1.)
- In the dialog box yous can specify a password and read-only recommendation for the file.
- Click on OK to close the dialog box. Word again displays the Relieve Every bit dialog box.
- Click on Salve to salvage your file.
Figure one. The Security dialog box.
The only problem with these approaches to protecting your document is that anyone can still load the file and so utilise the Save Every bit selection command to save their own copy of the document. The only sure mode effectually this is to save the document in another application format (such as a graphic epitome or in Adobe Acrobat) that precludes any employ of the information except for reading.
There is another option that may also fit the nib. This involves saving your document equally a Word form, which can be easily protected. To attain this, follow these steps if you are using Word 97 or Word 2000:
- Choose Protect Document from the Tools menu. Give-and-take displays the Protect Document dialog box.
- Cull the Forms option.
- Enter a password at the bottom of the dialog box.
- Click on OK.
- When prompted, enter your countersign once again.
- Salve the file as normal.
If you are using Word 2002 or Give-and-take 2003, follow these steps:
- Cull Protect Document from the Tools menu. Word displays the Protect Document pane at the right of the document window.
- In the Editing Restrictions section of the pane, choose the Allow Only This Type of Editing checkbox. Word enables the driblet-down list under the checkbox.
- Using the drop-down list, choose Filling In Forms.
- Click Aye, Start Enforcing Protection. Word displays the Start Enforcing Protection dialog box. (See Figure 2.)
- Enter a countersign (twice) in the dialog box.
- Click on OK.
- Save the file every bit normal.

Now nobody tin change your document without knowing the password.
